  • Sales/Pre-contract activities

    In addition to all the standard activities that characterize the initiation of any business relationship, our job includes some specifics:

    General flow chart of the project - we adapt the general, standard and proven scheme of project implementation to the specifics of introducing certain types of solutions from our offer.

    Diagnostics
    Precedes contract signing. At this stage we get to know the client - the way of doing business and his plans, wishes and needs. Good knowledge of the contracting authority and its specifics is the basis for the introduction of the right, well-tailored solution.

    Signing of the contract
    The contract defines (in detail only at the end of the Analysis phase) the scope of services and the timeframe for introducing a new business solution.
    The signature is followed by the Kick-Off Meeting, an initial meeting where we agree on how to work and communicate during the project or collaboration. A project group is formed, consisting of the NPS project leader and the contracting entities and key beneficiaries who will participate in the construction of the new system on the contracting authority's side. The following is the training of key beneficiaries, conducted in order to better and easier understand the analysis, the first and most important phase of the project, as well as the subsequent phases and other important activities during the project.

  • Business Process Analysis

    Business process analysis is the first and most important phase of any standard ERP solution implementation process. The result of this phase, or project, if implemented separately, is the Functional Requirements Document (DFZ). The DFZ gives a precise picture of the current situation (20-30%) but, more importantly, defines in detail the proposal for a new solution (70-80%), the manner and dynamics of realization of all subsequent phases of the project.

    The aim of the project
    The aim of the project is to collect and document the functional needs of the contracting authority, in the agreed business areas, for the purposes of implementing the ERP system.
    In case the analysis is realized as a separate project, its results (DFZ) will be an excellent basis for obtaining easily comparable offers from several different ERP solution providers - all offers will be based on the same source (DFZ). The choice of the contractor for the analysis does not condition the selection of the partner to continue the project.

    There are several options available:
    1. business process analysis results for ERP deployment will be able to be used to implement any ERP solution;
    2. the results of the analysis will be in the range of ~ 80% usable for the implementation of any ERP system; the remaining 20% ​​relates to the specifics of Microsoft Dynamics 365 BC (D365BC);
    3. the results of the analysis will be able to be used primarily for the implementation of the D365BC ERP system and will contain all the specifics of that system(Note: in this case, the analysis is based on the functionality of the D365BC, not based on the functionality of the existing program).

    We recommend that the contracting authority selects the option under 1) if it is satisfied that the ERP system D365BC is not a system appropriate to the specifics of its business. The option under 2) is recommended if the client wants to consider the implementation bids from other ERP solution providers. The option under 3) is recommended if the client has already opted for the D365BC.

    Project results
    The result of the analysis is a "Functional Requirements Document" (DFZ), with GAP analysis included. It is composed of the following segments:
    - defining the scope of the project,
    - business process analysis,
    - proposal for improvement of business processes,
    - GAP analysis: GAP analysis defines differences (GAP) and compliance (FIT) between the standard D365BC system and the needs of the client; this reduces the risk of the system being installed without understanding the basic development and implementation dilemmas.

    Note: Improvement proposals do not affect the structure of the company itself, as determining the competence of employees is in the domain of management and is not part of this project. This part of the services can be performed in a separate business process improvement project.

  • Design and development

    The business solutions we deliver are designed to fully meet the business needs and requirements of our clients.

    To implement a new business solution, radical interventions on existing business processes are not always necessary - most of the changes and adjustments can be made within the software itself. This approach can initiate entire development processes, but also result in efficient and rapid implementation of ready-made vertical or horizontal solutions.
    Aim and purposeDesign stage is to formulate and design a solution based on the requirements, conclusions and needs defined in the DFZ. The result is a separate document, which we present in detail to the client. In parallel to this, we plan development, divide it into phases, plan and assign tasks to our developers.
    The basic goal of the phase Development is to formulate and execute all the necessary adjustments and refinements on the software, document flow, reports, integrations ... This is followed by numerous tests and, finally, preparation of user instructions for all new segments of the solution.

    Customization
    After the Analysis and Design phases, and before the implementation itself in the narrow sense, system adjustments are mandatory. Some of the key ones are:
    - Customizing / Creating New Entities (Objects)
    - Adjusting shapes and fields
    - Creating a preview
    - Defining relationships between objects
    - Establishing a access system
    - Defining codebooks, price lists and discounts
    - Migrating data from legacy systems
    - Creating a Document Flow
    - Preparation of the reports.

    Data preparation
    In parallel with the development phase, key contracting customers are working to prepare (and 'clean') the codebooks. In order to prepare as best we can, we organize workshops and provide advice and assistance. Users receive pre-prepared files, in which they upload existing codebooks.

  • Introducing a solution

    We first check the settings of the new system. This, like the previous initial data transfer, is important for training purposes, during which we will train users to perform daily work procedures. The training is carried out in three stages, according to the client's data:
    - basic / general training is intended for all users,
    - specific / specialized training for individual user profiles,
    - working on specific examples.

    Data transfer
    As the development progressed, key contracting customers worked to prepare (and 'clean') the codebooks. After a thorough and final check, the codes and data prepared in this way are transferred to the new system. This is followed by the final tests. The general test is done before the live start.

    GO LIVE
    The solution is ready, all testing completed, users trained to work in the new system. GO LIVE is the moment when the first commercial transaction was made, that is, the day when the first business change in a new business information system was posted. The date on which the live start occurred is counted as the date of commissioning of the new system. This is also the end of the implementation of the DFZ-defined solution.

    In the first days after launch, we are available to our customers to provide concrete assistance in resolving possible operational problems and removing concerns, all with the aim of securing their independence as quickly as possible. With well-implemented projects, our presence at this stage is symbolic.

  • Training

    User training is an integral part of almost every project of ours. We provide training as an integral part of the implementation process.

    Occasionally we also organize trainings for new and existing (when new version) partners, as well as specialist courses for accountants. Also, we organize and implement for our clients various types of additional and specialist courses (finance, commerce, payroll ...), and it is possible to provide training for individuals and groups of users who want to expand and improve already acquired knowledge and skills.
    For these purposes we have a modern school center, in all adapted to the types of training in our offer.

  • Project management

    Assessing and controlling the flow and scope of the project, the capabilities of the software and the resources available, above all staff, are just some of the tasks for which the project manager must always have the right solutions and ready answers.
    The knowledge, skills, abilities and experience of a project leader and, above all, the need to have a good knowledge of business processes and technology are critical to the success (or failure) of any business solution implementation project.

    Throughout the process of implementing the new solution, NPS project leaders collaborate intensively with the project team and business decision-makers on the contracting side to carry the epithets of the most optimal and rational for many years, with the least risk and deviation from the agreement, implemented solutions and options of choice. The goal is to avoid too big (often unnecessary) modifications to business solutions, or significant (and painful) corrections to business processes in the process of compliance with high standards incorporated in a new business solution.

  • Support and maintenance

    GO LIVE does not mean the end of the project. In order to make the best use of the customer and to the fullest extent of the benefits of the new system, our Customer Support Center is included. To help and support our customers, every working day from 8am to 4pm, available are:
    - Help desk - immediate support, via telephone and / or the Internet, for all users with whom we have a maintenance contract. Short calls, simple / ongoing questions and problems;
    - Service desk - immediate support, through a shared portal, and indirect, when it comes to solutions and refinements that take time.

    Everything is regulated by the maintenance contract, which is annexed to the project implementation contract.

    Common portal
    In order to facilitate communication between project team members, both during the project implementation itself and later, during the system maintenance and upgrade phase, we have created a common portal within which each of our clients has a separate address. It contains all project documentation and other project related information. For example.:
    - the roles and responsibilities of individuals, members of the project team,
    - general and specific instructions,
    - documentation, prepared by NPS and not available by Microsoft. This part is the result of years of experience and a large number of realized projects, as well as numerous suggestions and comments from users.

    After the GO LIVE, the client is enabled to order new / additional services on the common portal, as well as to track the stage of his order / request. The same goes for logging and debugging, as well as validating the 'Service Logs'.

  • System integration

    With our entry into the New Frontier (NF) Group, the range of products and services that we can now offer to all our current and future clients expanded significantly.

    This is primarily because as a part of the NF Group we have become a member of the regional SAGA (the first NF Group member from Serbia) group of companies, with whom we nurture and develop partnerships and friendships for many years. In addition, we can now fully rely on collaboration with all other NF Group members, and primarily on close collaboration with one of the globally leading Microsoft Dynamics partners, XAPT .
